  • Identity evidence you provide, such as a government ID image and a face check, when a notarial act requires it.
  • The documents you upload for notarization, and a mathematical fingerprint of each version.
  • Records of your sessions: who attended, when, the checks performed, and the recording where the rules require one.
  • Technical information needed for security, such as the approximate location and network characteristics of a session.

Why we need it

  • To confirm who you are before a notarial act, as required by the Rules on Electronic Notarization.
  • To let your Electronic Notary Public perform and record the notarial act.
  • To keep the Electronic Notarial Book and allow lawful inspection.
  • To detect and investigate fraud or misuse.

Who can see it

  • You, and the people you invite to your notarization.
  • The Electronic Notary Public assigned to your notarization.
  • Authorised compliance reviewers of this facility, only where their role requires it.
  • Authorised regulators or courts, where a lawful request is made and recorded.

How long we keep it

  • Notarial records, certificates and book entries are kept for the retention period set by the applicable rules and cannot be edited after completion.
  • Identity evidence is kept only as long as needed to support the notarial record.

Your choices

  • You can update your contact details in your profile at any time.
  • You can withdraw from a notarization before it is completed.
  • You can ask us about the information we hold about you. Completed notarial records cannot be deleted, because the law requires them to be preserved.
