Security and legal basis

This facility is designed around the Supreme Court Rules on Electronic Notarization (A.M. No. 24-10-14-SC) and the Guidelines on the Accreditation of Electronic Notarization Facility Providers.

How your documents are protected

  • Uploads go to private storage. Files are never publicly readable.
  • Every version of a document gets a SHA-256 fingerprint, so any change is detectable.
  • Once a notarial act is completed, the source version is frozen and the notarized record cannot be edited.

How sessions are recorded

  • Each important event in a session is written to a linked chain of records, where every entry carries the fingerprint of the one before it. Removing or editing an entry breaks the chain and is detectable.
  • The Electronic Notarial Book is append-only. Entries can be added, never rewritten.

Who can access what

  • Permission checks run on the server for every request, and again in the database itself.
  • You see your own notarizations. An Electronic Notary Public sees the ones assigned to them. Compliance reviewers see only what their role allows.
  • Administrative keys are never sent to your browser.

Honest status for external services

  • Identity verification, face checks, video sessions, recording, electronic signing, PDF/A conversion, network checks, payments and regulatory reporting are provided through configurable adapters.
  • Where a provider has not been configured, the platform says 'Not configured' and blocks the step. It never shows a successful check that did not happen.

Reporting a problem

  • If you believe a record is wrong or an account has been misused, contact the facility administrator through your account so the report is logged and reviewed.
